The Building and Environment Committee is now looking for an Administrative Officer (the role of committee secretary is included).
JOB DESCRIPTION
As an Administrative Officer/Committee Secretary, you will be our key person regarding coordination and administration of matters to the committee. Being a committee secretary is a responsible role. Here you will work in a structured role and combine administrative and legal skills with an interest in politics and social issues.
You will review preparatory materials and compile documents, as well as take minutes at meetings. To ensure a good preparation process, you need to be consultative in your role by supporting elected officials, managers, and officers in practical matters related to the case preparation process and document management. You will work in a fully digital case management process and we have a strong focus on development and change work aimed at improving the quality for those we serve.
The work requires you to quickly familiarize yourself with varying issues, swiftly overview the content of texts, and work towards fixed deadlines. The intensity of the work varies with the political meeting cycle, and evening work may occur.
As a committee secretary, you provide professional support to elected officials in the Building and Environment Committee as well as managers and officers in matters concerning the committee. You ensure that matters reach the committee and are responsible for quality and legal security in the preparation and decision-making processes and at the committee meetings. You will quality-check documents before each meeting and provide feedback to officers and managers. You will write minutes, dispatch decisions, and manage other administration related to the committee. As a committee secretary, you will be part of the municipality's network for committee secretaries that drives common development issues regarding committee work in Bollebygd municipality. You will be responsible for the digitization of services that belong to the administrative process.
The role of committee secretary is assessed to correspond to a part-time position. The remaining part of the position, Administrative Officer, involves working with cross-departmental governing documents, investigation assignments, handling referrals and motions, as well as representing the administration in working groups. This also includes answering phone calls and responding to emails.
In the role of Administrative Officer, you will also be the administration's editor and web writer for the website and intranet, thereby being part of the municipality's overall web editorial team.
You need to be flexible in covering for colleagues in areas adjacent to your role.
QUALIFICATIONS
We are looking for someone who:
- has relevant higher education, such as public administration or political science
- has experience working in a politically governed organization and in public authority.
- is accustomed to working in systems and with digital tools
- can work independently and is meticulous in your work
- builds good relationships and easily collaborates with others.
- is a good communicator who expresses themselves fluently in speech and writing.
- has previously worked as a secretary in a committee or board, which is an advantage
Great importance will be placed on personal suitability.
